Definitions

“Booking” Room reservations at the Premises

“Client(s)” Any individuals that You will be meeting in the Room

“Premises” The physical locations of our Rooms: 88 Church Street EN2 6AR and 10 Genotin Terrace EN1 2AF

“Room(s)” The Room or Rooms available to be booked by You

“Us” or “We” Therapy Rooms Enfield

“You” The individual or organisation who is Booking a Room

This is an agreement between Therapy Rooms Enfield and You.

You agree that by Booking a Room You have read, understood and agree to these Terms and Conditions. Any variation to these Terms and Conditions shall have no effect unless expressly agreed in writing by Therapy Rooms Enfield.

Registration

Prior to making any Room Bookings You will complete the process of registration with Us.

You must provide Us with evidence that You hold appropriate liability insurance, professional indemnity insurance and evidence of any professional body membership and qualifications relevant to your planned use of the Room. You will also provide evidence of your insurance at each point of renewal.

It is your responsibility to maintain appropriate certifications, qualifications or Disclosure and Barring Service (DBS) checks if You are working with vulnerable Clients.

Go Cardless, a third part direct debit company, will be used to collect Room fees and You will be required to sign up with them during the registration process.

You must sign a Sharing Agreement for each Premises that you use. The Sharing Agreement is a legal document required by our landlords.

Once You have completed the registration process You will be provided with access to the Skedda Booking system and with access to the Premises.

Room Fees and Payments Process

Room fees are detailed on the Therapy Rooms Enfield website.  3 months’ notice will be given of any increase in Room fees.

Payment for ad hoc Bookings will be by direct debit and will be taken at the end of each calendar month for the month’s Bookings as shown on the Booking system.

Payment for contracts will be by direct debit and will be taken in advance of each month.

If for any reason payment fails, late payment will be charged at 4% above Barclays PLC base rate interest accumulated monthly.

Room Bookings

Rooms are available for use between the hours of 07:00 and 22:00. If You require a Room at a time outside of these hours please let Us know.

Bookings should be made via the Skedda Booking system unless You are experiencing technical problems in which case You can email bookings@therapyroomsenfield.co.uk to request your Bookings. Once a Booking has been made You will receive a confirmation email.

The Room can only be used during the times that have been booked. 

If You do not use the booked Room for the full duration of the Booking no refunds will be given.

Therapy Rooms Enfield reserves the right to refuse or accept a Booking for any reason, or no reason.

Booking Amendments and Cancellation Policy

You may amend or cancel a Booking up to 48 hours prior to the time of the Booking. Amendments and cancellations can be made via the Skedda Booking system. Rooms not cancelled within 48 hours will incur the usual Room fee.

If You would like to amend a Booking (e.g. change the Room or time of the Booking) less than 48 hours prior to the time of the Booking please email bookings@therapyroomsenfield.co.uk

You will make use of the Cancellation Policy in a reasonable manner meaning that You will not repeatedly make large numbers of Bookings which you later cancel. Doing so would make the Rooms unavailable for others to use and this would not be fair. If your Bookings and cancellations are deemed to be unreasonable We reserve the right to withdraw access to the Booking System from You.

Therapy Rooms Enfield reserves the right to change the Room booked but will endeavour to contact You before doing so. All reasonable efforts will be made to ensure that any replacement Room will be as suitable as the original. Therapy Rooms Enfield reserves the right to cancel Bookings for circumstances out of our control including, but not limited to, local or national restrictions as a result of epidemics and/or pandemics; other government restrictions; a power or hardware failure; a failure by a third party provider; fire and/or floods at or near the Premises; misconduct or negligence of a customer. There will be no Room charge in the event of such a cancellation.

Access to the Premises

Following your registration with Therapy Rooms Enfield and the making of your first Booking, You will be provided with a door fob which will give You access to the Premises that You are using. A £5 refundable deposit will be added to your first month’s payment to cover the cost of a new fob should You lose or damage it. The deposit will be refunded to You on return of the fob. If your fob or code is not used for 3 months it will be deactivated and will no longer give You access to the Premises. We will contact You to arrange for you to return the fob and at that point will refund the deposit. If the fob is not returned the deposit will be retained by Us.

The door entry system records the date and time of your arrival. This information is kept for 30 days in order to resolve any misunderstandings about Room Bookings. After 30 days the data is deleted. No images or videos are captured or stored by Therapy Rooms Enfield.

Arrival & Departure – 88 Church Street

You will enter the Premises using a fob. Instruction for how to use the door entry system will be provided to You prior to your first Booking.

At 88 Church Street each Room has its own dedicated doorbell. To avoid Clients disturbing other Room users, it is essential that Clients are given clear instructions about which doorbell to ring.

Clients should be asked to avoid arriving for their session any earlier than 5 minutes before the hour and You should ensure that You arrive before the Client does. If your Client arrives early and You are not ready to see them they can be allowed into the waiting room / kitchen until You are ready. You should ensure that they know that they must stay in the waiting room until You collect them. This is to avoid Clients mistakenly walking into the wrong Room or interrupting a Booking which is in progress.

If the doorbell rings during a Booking You can choose to answer it or ignore it. This is not likely to happen often however there might be times when somebody else’s Client rings the wrong doorbell or a delivery person or someone else might ring the doorbell.

At the end of the Booking You should escort your Client to the door and ensure that when they leave the door is closed properly. If You are the last to leave the Premises please ensure that lights are switched off before You go. As you leave pull the door closed and ensure that it is locked.

Arrival & Departure – 10 Genotin Terrace

You will enter the Premises using a fob. Instruction for how to use the door entry system will be provided to You prior to your first Booking.

At 10 Genotin Terrance each Room has its own dedicated doorbell. To avoid Clients disturbing other Room users, it is essential that Clients are given clear instructions about which doorbell to ring. They should also be told that there is no waiting area and that they should arrive on time for their appointment rather than early.

Clients will announce their arrival by pressing the button labelled with the name of the Room that they will be visiting. You should answer the call on the intercom system and unlock the door remotely to let the Client in. The Client should be told to go straight to the Room and the practitioner should be outside the Room ready to greet the Client as they arrive.

If the doorbell rings during a Booking You can choose to answer it or ignore it. This is not likely to happen often however there might be times when somebody else’s Client rings the wrong doorbell or a delivery person or someone else might ring the doorbell.

At the end of the Booking You should escort your Client to the door and ensure that when they leave the door is closed properly. If You are the last to leave the Premises please ensure that lights are switched off before You go. As You leave pull the door closed and ensure that it is locked.

Room Usage

You are responsible for your Room Bookings and should ensure You have made Bookings for the correct day and time at the beginning of each day that You use our Rooms.

You are responsible for ensuring that the Room is suitable and safe for the purpose for which it is intended to be used. You are responsible for all activities undertaken and will give reasonable consideration to other users of the Premises. Rooms should not be used for any purpose other than the purpose You have booked it for.

You and your Client(s) should conduct yourselves in a reasonable and respectful manner at all times whilst anywhere in the Premises. Therapy Rooms Enfield reserves the right to eject or exclude You and/or your Client(s) if We consider You and/or your Client(s) to be objectionable.

Therapy Rooms Enfield requires advance warning of any unusual activities taking place in the booked Room (for example playing music, singing, dancing, painting, etc.) to allow for appropriate authorisation and planning. Therapy Rooms Enfield reserves the right to refuse such activities from taking place should they be deemed to interfere with other people/organisations within, or outside the Premises.

All Bookings start on the hour and Rooms must be vacated no later than 5 minutes before the next hour in order to allow the next user to enter the Room prior to the start of their Booking. Room doors should be left open after each Booking so that it is clear when a Room is not in use.

If You arrive to find the Room that You have booked is still in use 5 minutes before the hour, You should knock on the door to alert the previous user that You have booked the Room. The person inside the room should always come to the door to explain any reason for overrunning or to settle any misunderstandings about who has booked the Room.

Rooms should be left in the same state in which they were found. If furniture and other Room content is moved during the Booking it should be repositioned at the end of the Booking. If windows are opened during the Booking they must be closed and locked at the end of the Booking. Storage is available on request for any resources You wish to leave on the Premises.

Therapy Rooms Enfield cannot be held responsible for any late running of previous Bookings or damage/mess from previous users which would cause the late start of your Booking.

Use of Kitchen / Waiting Area
You are welcome to use the kitchen / waiting area before and after Bookings and to use the facilities provided. If others are in the Premises the door to this Room should be kept shut and conversations should be kept minimal and quiet. Please do not use this space for telephone calls.

Smoking

No smoking is permitted in the Premises.

Illegal Activities

No illegal activities are permitted, including but not limited to drug abuse, gambling, violent or threatening behaviour.

Food and Drink

To maintain the standards on offer in the Rooms We request no food should be consumed in the Rooms. Any food brought into the Premises must be consumed in the kitchen. Water is permitted in the Rooms.

Fire Risk and Safety

No naked flames are allowed including, but not limited to, candles and incense.

Animals

No animals are allowed in the Premises apart from assistance dogs, or by prior written consent of Therapy Rooms Enfield.

Equipment

You are welcome to use your own equipment in the Room for the Booking. It must be removed at the end of the Booking.

Incidents/Accidents/Damage/Breakage

You are responsible for the Room and its contents during your Booking.  Any incident/accident/damage/breakage that occurs whilst on the Premises must be brought to our attention immediately. 

If any damage or breakages occur, Therapy Rooms Enfield reserves the right to make a reasonable charge for the repair or replacement of damaged or broken items. If any Room is damaged to the point that it is rendered unfit for use, You will be obliged to pay compensation to Therapy Rooms Enfield for lost revenues whilst the Room is out of use plus the cost of repair and replacement at the current market value.

No items are to be affixed to the walls, floors or ceilings of any part of the Premises without the prior consent of Therapy Rooms Enfield. .

Internet Usage

Therapy Rooms Enfield will endeavour to ensure uninterrupted access to the internet at all times; however, We cannot guarantee that access to the internet will not be uninterrupted through either a component/hardware fault or by the service provider.

During the hiring of the Rooms, You agree to use the internet facility in a responsible manner and not for illegal purposes or those which may cause offence. Therapy Rooms Enfield reserves the right to pass on any records to the authorities if requested to do so.

Therapy Rooms Enfield will not accept responsibility for any virus following the use of the internet and We recommend that when utilising your own equipment sufficient software protection is installed.

Emergency Procedure

At 88 Church Street each Room is equipped with a panic button. Please note that this facility is currently only available in this Premises.

Panic buttons can be found on the windowsill beside the armchair in Yalom and Perls Rooms and on the side table beside the single tub chair in Ainsworth Room.

If You need urgent assistance and cannot leave the Room You should press the panic button. This will sound the building alarm which is extremely loud and difficult to tolerate and might encourage anybody in the Premises to leave. We will be notified that a panic button has been activated and will respond in the following way:

  • We will call You by telephone to find out what assistance is required. If there is no answer We will call the police
  • If We are in the Enfield area, We will make our way to the Premises immediately

If there is more than one person in the Premises when the alarm sounds, it is expected that Room users will leave their Rooms to find out what has happened and to ascertain whether they can be of assistance, without putting themselves in any danger.
